Receptionist/Customer Service (Central Admin)

DESCRIPTION

The Customer Service Specialist: 1) greets and directs visitors; 2) responds to questions, and/or resolves concerns of internal and external stakeholders; 3) provides information updates to stakeholders, and 4) when time permits, provides general clerical support.

Specific Responsibilities:

  • Respond to phone, e-mail, and in-person inquiries in a pleasant, timely, informed and professional manner to reinforce a positive image of the Academy
  • Resolve routine staff and stakeholder concerns if possible, by clarifying the issue, determining the cause,proposing solutions, and following up to ensure resolution if necessary
  • Refer non-routine concerns to appropriate staff member and follow-up to ensure resolution
  • Manage telephone message system as needed to inform stakeholders of important updates
  • Maintain a professional, welcoming, clean, and orderly reception area
  • Operate standard office equipment such as personal computer, copier, and fax
  • Ensure confidential information is not disclosed, visible, or accessible without approval
  • Type routine correspondence, notices, and other office documents
  • Manage sorting and distribution of incoming and outgoing mail and shipments
  • Engage in routine data entry into spreadsheets or forms, on-line or on paper
  • Maintain data/records and compile routine reports on office visits, inquiries, and follow-up

Required Qualifications:

  • High School Diploma
  • Customer Service mindset; energized by helping others

Preferred Qualifications:

  • One (1) year experience in a customer service role
  • Experience working in schools or with children in an organizational setting
